CaiGunn 3.0.0: Empower Your Team Efforts with Team Management Feature

As businesses increasingly rely on AI, managing and training AI is no longer a solo task. Effective team collaboration and authority delegation are more important than ever. With the release of CaiGunn 3.0.0, users can now streamline team management and assign specific tasks to members, ensuring smooth operations and optimal performance.

🙌 Ways to Share

There are several ways you can add users inside and outside your business to your workspace and train bots together. Below is an overview of all the ways to share:

During registration

When creating a new account, CaiGunn will automatically display a list of workspaces registered under the same email domain. Registrants can directly select their team’s workspace to join.

General settings

Select the CaiGunn icon in the top-left corner to open the sidebar, then select Permissions.

• Click the Invite Members button in the top-right corner.

• If you know a person’s email address, type or paste emails in the text field and hit the Send button. CaiGunn will send an invitation email to their address with a button to accept the invitation.

• If you don’t know their email address, you can copy the Invitation Link and share it directly. Please note that the invited individuals must have a CaiGunn account before joining.

Please note that when an individual accepts your invitation, a request to join is automatically sent back for security purposes. For more details, refer to the Approvals Process section below.

Share with a Bot

You can assign bot-specific access to team members, but they must first be added to the workspace using one of the methods mentioned above.

• Select the bot you want them to work with from the main homepage.

• On the sidebar, click Permissions.

• Click the Add Members button in the top-right corner to add individuals to the selected bot.

All team management notifications are sent via email.

✅ Approval Process

For data security reasons, all member requests to join your workspace must be reviewed and approved manually before they can officially gain access.

• When a member accepts your invitation, you’ll receive an Email Notification.

• Click the link in the email to review and Approve their requests.

You can also approve their requests directly in CaiGunn by:

• Open the sidebar and select Permissions.

• Under the Pending Member, choose either Approve or Reject their requests.

• When approving a request, you can assign a specific team role to the member.

📝 Adjust Member Roles

After members have joined your workspace, you can easily update their roles and permissions as needed:

• Navigate to the Permissions section.

• Locate the member whose role you want to modify and click "Edit Roles & Permissions."

• Adjust their role to Admin, Editor, or Viewer, or remove them from the workspace if necessary.

Alternatively, you can adjust permissions for individual chatbots:

• Open any chatbot.

• Select Bot Permissions from the sidebar.

• Update bot-specific permissions for team members directly.

👤 Role Permissions Overview

Each role includes a specific set of permissions to manage the AI system effectively:

• Admin:

  • Full control over all bots: can access the knowledge base, train, test and publish bots.

  • Can manage access Admin, Editor, and Viewer roles for others and yourself.

  • Can manage subscriptions, and payment methods.

  • The Admin role within bots is fixed as Bot Owner and cannot be changed. If you or another admin are reassigned to an Editor or Viewer role for a specific bot, you will automatically become a workspace member instead. To regain Admin access, you’ll need to ask another admin to reinstate your role.

• Editor:

  • Can access the knowledge base, train and test assigned bots.

  • Cannot publish bots.

  • Cannot modify access for other members.

  • Cannot manage subscription plans or payment methods.

• Viewer:

  • Limited to viewing bot settings, conversation logs, and chat interfaces (if no registration is required).

🧑‍🧒 Inherited Permissions

If you leave the organization or delete your account, your workspace will be automatically transferred to another admin.
